West Bend, WI – Washington County Fair Park is looking to hire an administrative assistant.

Position Summary Under direct supervision of Executive Director, this individual is responsible for providing administrative support to Fair Park Staff and the Executive Director. This position requires work schedule flexibility, to include some possible evening hours, and the ability to work additional hours before and during the County Fair and/or other key events. • Answer telephones, greet public and refer them to appropriate staff members, and take messages as necessary.
• Provide information by answering questions and assist walk-in visitors as needed.
• Maintain front office area, keeping it clean and free from clutter.
• Record minutes from the Board of Directors meeting, Fair Committee & Fair Park Committee meetings.
• Open, sort and distribute incoming mail and prepare outgoing mail daily.
• Serve as an assistant event coordinator as necessary.
• Beverage coordination and inventory for on-site events.
• Responsible for updating information on the website and assist with social media planning and posting.
• Creation and scheduling of highway sign messages.
• Distribution of promotional materials to the community for events
. • Creation of posters/programs for events.
• Research projects as assigned by Executive Director.
• Ordering of supplies for the office and events as well as assisting with the quarterly inventory.
• Assist Accounting Manager in daily operations as needed.
• Update the point-of-sale system as needed.
• Attend AIS Signature Events and assist where needed to execute a successful event.
• Assist in planning and execution of the annual County Fair to include but not limited to: Ticket processing, signage needs, volunteer coordinator, checking in of Fair Vendors; sending judging invitations and confirmations; assembly and distribution of Judging Packets and the binders needed on-site for judging.
• Updates to the Fair Premium book; confirming changes with Superintendents and uploading information and fair entries/placings to ShoWorks.
• Assisting with data entry and submission of Fair reports for DATCAP yearly.
• Other duties as deemed necessary by Fair Park Executive Director.
Fair Park
Essential Knowledge and Abilities
• Associate Degree in related fields such as business or communications preferred. An equivalent combination of education and experience will be considered. • Minimum two years customer service work and office experience preferred. • Experience working for a non-profit organization and/or a County Fair helpful. • Proficiency with Microsoft Office software (word, outlook, excel, power point) • Exceptional customer service skills along with written and oral communication skills. • Demonstrate ability to work independently and in a team atmosphere/organization. • Ability and willingness to work some early mornings, evenings and weekends. • Ability to operate a variety of office equipment. • Ability to maintain a high level of confidentiality. • Willingness to submit to and pass background check.
